In 2004, VERTCOM developed its own software suite for managing scientific congresses, with functionalities specific to the research communities. This suite is constantly updated and enriched with improvements suggested by organisers.
It is installed on a server equipped with all the necessary security features to ensure that the data collected is not disseminated, and with a backup system to preserve its integrity in the event of an incident.
The suite is quick to implement (less than 24 hours) and very intuitive for organisers to use. Developed in both English and French, it can be used to generate forms for submissions and registrations, which can be easily implemented in an existing website or one created by the agency.
We support the scientific committee in drawing up the conference program (plenary and parallel) by providing them with our completely new planning tool. Based on the list of submissions selected orally at the end of the reviewing process, the program is built by simple drag & drop, day by day, session by session and topic by topic.
An essential complement to the reviewing tool, this intuitive interface for chairmen will save them precious time and prevent them from losing speakers along the way… At the end of the day’s planning work (coffee breaks, lunches, poster sessions, visits, etc.), the tool generates a document that can be published on the congress website or inserted in the printed program.
We know how to manage the different phases of an industrial exhibition project: canvassing sponsors and exhibitors, contracting and invoicing, logistical coordination with the exhibitor and the convention center, reception and installation during the event.
Using industry-specific software, we position the stands in their various sizes on the technical plans provided by the host site. We manage the dispatch of the « exhibitor file », which includes safety instructions, information on delivery, set-up and dismantling, and basic stand equipment. A list of optional equipment is provided for exhibitors, who can order additional furniture and services directly from the convention center. The software also offers a 3D view of stand layout in a « visitor » version, accessible via the website and mobile app.
In addition to the congress website, we’re offering a mobile application (available in French and English) that lets you find all the contributions, authors, detailed program, partners and sponsors, with features for discussion and networking between participants (chat wall, appointment booking).
For hybrid or all-digital congresses, authors can upload their pre-recorded videos from their profile page. If required, the agency offers a recording tool based on the e-Slides solution.
Links to live sessions (Zoom, Google Meet, Teams) are added to the digital conference program and accessible from the website and mobile app.
